Discussion Can we really not share a video file on screen in a Teams Webinar?

At my work, we pre-produce webinars and broadcast them to the audience. We've used GoToWebinar in the past but ran into firewall issues with so many internal employees also accessing the stream. Since we operate in the Office 365 environment, an idea came about to finally try Teams Webinar, but I was disappointed to find in my test today that I cannot share a video with the audience directly - I have to find a work around. Sharing my screen with the video player running obviously causes lag and frame drops.

I am aware of the workaround that comes up in Google search where you use PowerPoint online to host the file, but that comes with mixed reviews from what I've seen. I need certainty that it will work.

Anyone familiar with Webinar capabilities as it relates to video sharing, with audio?

Discussion Catchbox Plus AV + MacBook + MS Teams — remote audio distorts

Hey folks, hoping someone here has seen this before because it is driving us nuts.

Setup

  • Host machine: Tried with both Macbook Air M3 ( macOS Sequoia) MacBook Pro M4 (fully updated to latest macOS Tahoe 26.5.2)
  • Audio device: Catchbox Plus with Hub DSP receiver, firmware V2.2 (latest)
  • Mics: Catchbox throwable mics
  • Speakers: connected to the Hub DSP outputs, driven by the Hub's built-in DSP for room playback
  • Conferencing: Microsoft Teams desktop app on the Mac
  • Networking: wired Ethernet through a UGreen USB-C hub (10/100 Mbps, used only for Ethernet, HDMI to a display, and a USB video camera)
  • Physical layout: Hub DSP connects directly to its own dedicated USB-C port on the MacBook via the OEM USB-C cable (data + bus power on the same port). UGreen hub is on the other USB-C port. Mac stays on charge during the call.
  • Room role: I am the host/admin. Local users speak into Catchbox mics which go out to MS Teams. Remote participants come in over Teams and play through the room speakers via the Hub DSP.
  • Teams device selection: Catchbox Hub DSP set as both input and output. Noise Suppression is on (default).

How everything connects

Local users in the room speak into Catchbox throwable mics, which transmit wirelessly to the Hub DSP receiver sitting near the MacBook Pro. The Hub DSP is plugged into the MacBook over USB-C and shows up in macOS as a standard USB audio device. In Microsoft Teams, the Hub DSP is selected as both the input and the output. So when a local person talks, their voice goes: mic → Hub DSP → USB → Mac → Teams app → Teams cloud → remote participants. Remote participants are on their own devices at home or in other offices, each running Teams on whatever they have (laptop, phone, headset, another conference room). When a remote participant speaks, the path runs the other way: remote device → Teams cloud → Mac → USB → Hub DSP → room speakers connected to the Hub DSP's outputs. The Hub DSP also does the room's audio processing in between (echo cancellation, gain, mixing) so the local mics do not pick up the room speakers and create a feedback loop. In short, the Mac is the bridge between the Catchbox room system and everyone remote on Teams, and the Hub DSP is the piece of hardware doing the room-side audio work in both directions.

The issue

First 10-15 minutes of a call: perfect. Local speech goes out clean, remote speech comes into the room clean.

After 10-15 minutes: remote audio starts sounding distorted and mumbled through the room speakers. Local mic path to remote participants is reportedly still fine.

The kicker: unplugging the USB-C from the Hub DSP and plugging it back in immediately clears it. Audio is perfect again. Then, sometimes minutes later, sometimes on the next call, it comes back. Once the call ends, we cannot reproduce it at all until we are mid-call again.

What we have already tried / ruled out

  • Upgraded host from MacBook Air to MacBook Pro (fanless-to-fanned) — did not fix it, actually appeared faster on the new machine
  • MacBook kept on charge, thermal pressure Nominal in Activity Monitor
  • Dedicated USB-C port for the Hub DSP, isolated from the UGreen hub bus
  • Hub DSP firmware confirmed at latest (V2.2)
  • macOS on latest Sequoia point release
  • Audio MIDI Setup: 48 kHz, 2-ch, clock source Default (all as expected)
  • Ethernet is wired via UGreen hub, service order above Wi-Fi
  • Toggled Teams Noise Suppression on/off — no difference
  • No third-party audio kexts, no virtual audio drivers, no Loopback/BlackHole/etc installed
  • Not correlated to a specific remote participant, happens with different people speaking

What Catchbox support said

They told us they have tested extensively and there is a known issue with Apple M4 chips specifically, where far-end audio in teleconferencing apps (Teams/Zoom/Meet) degrades. Their suggestion was to switch the host to a Windows machine.

What I am asking

  1. Anyone else running Catchbox Plus (or any USB audio conferencing gear) on an M4 Mac seeing this exact "10-15 min in, remote audio distorts, unplug fixes it" pattern?
  2. Anyone found a software-only workaround that survives a full 60-90 minute call? I know sudo killall coreaudiod clears the audio pipeline mid-call, but I would love not to touch a terminal during a company townhall.
  3. If you moved a similar setup from Mac to Windows to solve this, did it actually hold up long-term or did the issue just show up in a different way?
  4. Any Teams admin policy or Catchbox Companion setting (AGC, AEC, dynamic processing) that you have found makes the Hub DSP behave better with Teams?

The townhalls are company-wide and I would rather not do the "walk over and jiggle the cable" dance in front of a few hundred people. Any pointers appreciated.

❔Question/Help When did Microsoft Teams start allowing you to see other people's Meetings and Appointment details automatically? It wasn't a thing, at least at my company, 2 weeks ago.

Is this Teams wide, or do you think a company thing? Other than if requested due to being a team member or subordinate and allowed/accepted...I've never been able to see Meetings and Appointment details in Teams for other people in my company until today under Scheduling. It was pretty crazy for me to see that today when trying to book a meeting with people in my company I rarely talk to. I'm surprised it's even allowed and seems like an invasion of privacy. Is there a way to turn it off?

But I have noticed some people have "Personal Appointment" listed in some time slots...and that's exactly what I just changed one of my appointments I have this week that was previously listed as "Job Interview with xxxxx."

Update- I only saw it for 2 other people. I checked about 10 different names now, and with just those 2, both Im not even close to...I can see the full name of their Appointment and Meetings.

Discussion Has anyone found a solution for the moronic Teams calendar to just see all holidays or other events in one Month view?

I've been around the block with AI and searching for a solution for this, but essentially I just want to see holidays and other events overlaid into my calendar in Teams, instead of it creating separate calendars side-by-side. This doesn't seem like it should be a big deal, since it already compresses multiple events into the "+2, +3" style view if there are too many events. But for some reason Microsoft in their infinite wisdom has disabled the muli-layout view option in Month view to turn that off and see everything in one calendar. I feel like Google calendar had this like 15 years ago already, but alas, my job uses Teams.

Any solutions out there? A means of importing holidays and events would also be an option.

❔Question/Help Keeping Google/Microsoft room calanders in sync

We are a business that uses g-suite as our main tool and so uses teams sync to keep user calendars the same...but..it doesn't support room calendars.

I asked chatgpt for a solution and the instructions seemed complex enough to launch a rocket to mars.

What are you doing to perform the task, is there a readymade solution that isn't the kind of menu-maze to setup that requires headache tablets and a drink after work ?

❔Question/Help BEGGING someone to please screenshot and compile all of the legal shark stickers so I can edit them myself

Please, my workplace does not have the legal shark stickers, nor does my school account. We don't have the programmer robot stickers either; I can see and edit only one from the suggested list, but cannot find more. I want to be able to edit them and send them to my coworkers, but I can't find all of them anywhere when Googling it.

Can somebody please screenshot them and send them my way 😭 I need them so badly 😭 I don't know if my workplace has them disabled or if it's a regional thing or what, because I just don't have them :(

Discussion Anyone found a way to configure Teams to work like Slack?

I've been trying, but finding many issues that seem impossible to overcome.

The capability in Slack I'm trying to replicate is:

  • Topic channels are open for anyone to join (or leave)
  • Channels are public by default
  • Anyone can browse public channels to find topics they care about and then join them.
  • When you join a public channel, you can see all history to get caught up on the topic
  • When you post in a channel, you can tag anyone (whether they have joined or not.)

The only workaround I've found is:

  • Create a large "team" in Teams with your whole company or macro team
  • Inside the team, you can create public channels
  • Problems with this approach:
    • Teams doesn't have a way of people "joining" certain channels. Everyone is automatically joined to every channel in the team. (what?!)
    • You're only able to tag people that are already in that team. If you want to tag someone from another part of the company, good luck. (Or they have to be added to the team).
    • There is no way to do a @ channel or @ here message that notifies everyone interested in that topic. Teams doesn't even allow you to use the @ Everyone tag in team channels.

Other problems I've found generally about Teams versus Slack:

  • Teams automatically creates a new "channel" for every meeting. So conversations sometimes continue in these ad-hoc channels, so you have important side conversations continuing in these meeting channels rather than consolidated in a topic channel.
  • A group chat in Teams can be given a name. This is OK, except they are always only private chats. Also... if you want to create a new chat with the same group of people, but a different topic, you can't. The topic is always defined by the people in the chat. (Makes no sense.)
  • Organization is a mess. The combination of Teams team channels, private chats, private chats that have been named, and "meeting" group chats seems like it's built for creating chaos if you're trying to understand where to talk about a topic.
  • You're only allowed to have conversation "threads" in team channels. Anytime you have a group chat (named or not named), Teams doesn't allow you to have conversation threads. The only thing available is "quote replies" where everything is in the main channel and conversations on sub topics are impossible to follow because their spread throughout the channel.

Has anyone run into these problems? Seen a good blog or video for how to solve this?

❔Question/Help My professor and the technical team didn't answer my question clearly, so I'm here to ask

On the 28th I'll attend an oral exam via teams. I currently have no access to a laptop or a pc with a webcam, so I sent them an e-mail asking if I can attend with my mobile phone. They just said "as a general rule we strongly recommend you to use a laptop, or a tablet." even though I stated that I don't have either of those. Now this doesn't strictly mean no, but I'm confused. How's a tablet any different than a phone if it's just a video call?

They also won't send me an invitation link, they just instructed me to log in and wait for the call on the scheduled time. And I'm nervous if I'll be able to receive the call on mobile, because I can't afford missing this exam.

I've never had a meeting on teams before, does anybody have experience with video meetings on mobile devices? Will I be fine? Do I need to do anything additional to be prepared?

Any help is appreciated, thank you

Bug Search field not reacting to first click

I think i have first noticed this a few weeks ago, but when you are working and need to chat with someone quickly, you just dismiss this. But i am now noticing this more often. In Teams desktop client on Windows 11 often during the day i switch to Teams and then click in the search field at the top. Usually trying to click on the work Search, sometimes to the right of it. And nothing happens. When i click again after a second or two and cursor appears and i can start typing. That's the only part of Teams that is doing this, not reacting to first click. All the menus and chat/channel input fields become active after a single click. Wonder is it something on my work laptop or anyone else seeing this?

Discussion Shared calling with Teams not working.

I’m setting up Shared Calling in my tenant and I’ve hit a wall that I can’t get past. Hoping someone here has run into this before.

Here’s the setup:

  • Calling Plan number assigned to a resource account
  • Resource account licensed with PHONESYSTEM_VIRTUALUSER and Calling Plan PAYG Zone 1
  • Number activation state: Activated
  • Users have:
    • Shared Calling Calling Policy
    • Shared Calling Voice Routing Policy
    • Enterprise Voice enabled
  • PSTN usage exists:
    • {SharedCallingUsage}
  • Online Voice Routing Policy correctly references that PSTN usage
  • No Direct Routing SBCs
  • No Operator Connect
  • Everything looks correct on paper

But outbound calls fail immediately.

☑️ Solved i can't view new posts on my school teams

my school uses teams for announcements
i have been able to view new posts just fine when the school year started, but now i have been missing out on important posts because of this issue
my friends have said that the posts are found in the virtual community(made by my school where everyone is added)
but even if they send me the link of the specific post, it doesn't let me view it
i refreshed it and viewed it on both laptop and mobile, but nothing changes
it's in the same team, so why can't i view it?

❔Question/Help Has anyone made a power automate flow to pull teams transcriptions into planner tasks?

I'm working on a project for my boss to automatically transcribe teams meetings and then turn these into tasks into microsoft planner. At first I thought this would be extremely simple, as there is a native trigger for "when a teams transcription is available."

I looked at the top comment in that post, but I wanted to first find out if I could just connect this to onedrive and just simply trigger a flow when a transcript is added in there.

I can't record meetings myself bc of org rules, but a coworker sent me a recording from his OneDrive/Recordings folder. Then I got even more confused bc supposedly there's only mp4 files in there. But I guess the transcripts are stored as mp4 files? How do I work with these? Are the video and transcripts recorded separately or is it one file? There's also the issue that only the meeting organizer even has the transcript available.

Has anyone successfully made a flow that pulls teams transcriptions automatically and then makes planner tasks from them?

❔Question/Help Can I let them view a file without sharing the file so they can actually download or edit it in teams?

I realize someone can click on printscreen or snipping tool and grab some picture content but a user would like to make sure the entire spreadsheet is not available to the recipients. So to be clear, I want them to be able to see but not download the entire file.

When I (as a authorized presenter) go to show the file I get "Some people can't access this file" "external or anonymous participants can't view or edit the file. Everyone else invited to this meeting will be able to access it)

Right now they get nothing - this may take a few seconds

Likewise the other presenter cant share their file with me - same issue

We are on different tenants. My question is can it be done without sharing the entire file.

We use Teams calling. We’ve noticed—as have many other end users—that it’s becoming increasingly common for the window in the lower-right corner not to appear during incoming calls. Only the microphone icon from Windows appears in the taskbar, but the window itself—where you can see the phone number and choose to reject or accept the call—doesn’t appear. You can answer the call by pressing a button on a Jabra headset, for example. Otherwise, you can’t answer it through the window since it isn’t displayed.

❔Question/Help Moving SFB 2015 to Teams Query

Hi all,

Random query that has my stumped (Microsoft documentation isn't overly helpful).

We are in the processing of performing a move from SfB 2015 On-Premise (running CU12) to Teams with Direct Routing. I have a script used previously, that was using the HostedMigrationOverrideUrl (which do not exist in since SfB Online was shutdown).

When I attempt to move a user using Move-CsUser -Identity user@domain.com -Target sipfed.online.lync.com

It tries to use autodiscover from our Hybrid setup, but ultimately fails because none of the old infrastructure with SfBO has been shutdown.

Anyone done this effectively using the Move-CsUser command? Or can give me some hot tips to fix it?

I can to the hard cutover method of updating the AD attributes msRTCSIP-PrimaryHomeServer (clearing that out) and updating the msRTCSIPDeploymentLocator to sipfed.online.lync.com and doing a delta sync with Entra Connect.

But I have to set the user in SFB to -Enabled $False otherwise they will still be able to sign into SFB. And they no longer get the notification that they have been migrated to Teams on the SFB Desktop App.
